Administrative Assistant

Position Summary

The Administrative Assistant provides essential administrative, clerical, and organizational support to ensure smooth daily operations at United Sanitizing LLC. This role supports scheduling, documentation, communication, and program coordination activities, helping maintain efficient workflows across the company. The Administrative Assistant represents United Sanitizing with professionalism, accuracy, and strong attention to detail.

Key Responsibilities

  • Manage incoming calls, emails, and general inquiries with professionalism
  • Schedule meetings, interviews, training sessions, and staff appointments
  • Maintain organized digital and physical filing systems, including personnel and program records
  • Support onboarding processes by preparing documents, collecting forms, and updating employee files
  • Assist with payroll preparation by tracking hours, attendance, and timesheets
  • Prepare correspondence, reports, spreadsheets, and internal communications
  • Support apprenticeship program administration, including tracking apprentice progress and maintaining compliance documentation
  • Coordinate office supplies, inventory, and vendor communication
  • Assist with data entry, recordkeeping, and updating company databases
  • Provide administrative support to management and field supervisors as needed
  • Maintain confidentiality and follow all company policies and procedures

Qualifications

  • High school diploma or equivalent required; associate's degree preferred
  • 1—3 years of administrative or office support experience
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and digital recordkeeping systems
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and prioritize effectively
  • Professional, reliable, and able to work independently
